Inventory Management for Schools
Stationery, lab equipment, sports gear, furniture. Track what the school owns, what's running low, and who it was issued to, without a manual stock register.
1 register
for every category of school inventory
What it does
Digital stock register by category
Track inventory across categories like stationery, lab equipment, sports gear, and furniture, replacing a manual register that only one person can update at a time.
Low-stock alerts
Set a minimum threshold per item, and get an alert when stock runs low, so consumables get reordered before they run out entirely.
Issue tracking by department or individual
Log what's issued to which department, classroom, or staff member, so equipment and supplies can be traced instead of quietly disappearing.
Asset tracking with purchase and warranty details
For higher-value assets like lab equipment or furniture, record purchase date, cost, and warranty period for maintenance and depreciation records.
How it works
Set up your inventory categories
Add categories for the kinds of items your school tracks, and set a low-stock threshold for consumables that need regular reordering.
Log issues and stock movements
When items are issued to a department or classroom, staff log it in the app. Stock levels update automatically as items move.
Get alerted before you run out
When any item crosses its low-stock threshold, the person responsible for procurement is notified to reorder before it becomes a problem.
Frequently asked questions
Can we track high-value assets separately from consumables?
Yes. Assets like lab equipment and furniture can be tracked with purchase date, cost, and warranty details, separately from consumable stock like stationery.
Who can issue or request inventory items?
Access is role-based. Store staff and admins can log issues. Department heads can raise requests, which store staff then fulfil and log.
Can we generate a stock valuation report?
Yes. A current stock valuation report is available at any time based on recorded purchase costs, useful for annual audits and inventory reconciliation.
Is this linked to the school's financial accounting?
Purchases recorded in inventory can be linked to the corresponding expense entry in Financial Accounting, so the two stay consistent without double entry.
