ChalkPis Feature

Student Information System for Schools

Every student has one profile, and every module reads from it. Enter a student's details once; attendance, fees, exams, transport, and library all use the same record.

What it does

Single record across every module

A student's name, class, section, and parent contact are entered once. Attendance, fees, exams, and transport all reference that same profile, not separate copies.

Complete academic and personal history

Each profile holds admission details, class history, attendance record, exam results, and documents, viewable in one place instead of scattered files.

Bulk class promotion at year end

Promote an entire class or section to the next grade in a few clicks at year end, instead of re-entering every student manually.

Custom fields for school-specific data

Add fields your school specifically tracks, like house, blood group, or bus route, without waiting on custom development.

How it works

01

Student profile created at admission

When an applicant is marked enrolled in the admission pipeline, their student profile is created automatically with the details already collected.

02

Every module reads the same profile

Attendance, fees, exams, transport, and library all pull from this one record. Update a phone number once and every module reflects the change.

03

Records carry forward every year

At promotion, the student's history moves with them to the new class. Nothing is re-entered, and past years remain accessible.

Frequently asked questions

Can we import our existing student records?

Yes. ChalkPis accepts bulk import from Excel for existing student databases. Our implementation team assists with mapping your fields during onboarding.

Who can access a student's full profile?

Access is role-based. Admins and the relevant class teacher see the full profile. Parents see only their own child's data. Other staff see only what their role requires.

What happens to a student's record when they leave the school?

The record is marked as transferred or withdrawn and archived rather than deleted, so historical data like transcripts remains available if needed later.

Can we generate a transfer certificate from the system?

Yes. Transfer certificates generate directly from the student profile using the school's format, pulling attendance and academic details automatically.
